We build the outbound machine that fills your pipeline
Most outbound dies from the same disease: it eats your team's hours and still misses. Roiwerk builds the machine instead. We wire together prospect research, list building, enrichment, and personalized outreach into one system that runs whether you are at your desk or asleep, and hands your reps warm replies and booked calls instead of a blank CRM. You keep the human touch where it moves deals; we automate everything that does not need one.
What we actually build
This is not a lead list you buy once and burn through. It is a running system. Every day it finds companies that match your ICP, pulls the right contacts, checks that the data is real, writes outreach that sounds like a person, sends it, and routes the replies. When someone says yes, a meeting lands on the right calendar. When someone says 'not now', they drop into a nurture track instead of a black hole.
We build it, we run it, and we tune it against real reply rates. That is the difference between an automation studio and a strategy deck: we do not hand you a playbook and wish you luck. We hand you a pipeline that produces meetings, and we are on the hook for whether it works.
The parts of a lead machine
A pipeline that fills itself is really five jobs stitched together, each one boring on its own and powerful in sequence. Break any link and the whole thing leaks: great copy sent to dead emails books nothing, and perfect data wrapped in generic copy gets ignored.
We build each stage to feed the next cleanly, with checks between them so bad data never reaches your send tools and burns your domain. You can start with one stage and add the rest, or we build the full loop from day one.
- Prospect research: pull companies and people that fit your ICP from the sources that actually have them
- List building: turn 'our best customers look like X' into a live, deduped target list that refreshes itself
- Enrichment: verify emails, add firmographics and buying signals, and drop anything that would bounce
- Personalized outreach: draft first lines and angles from real signals, not '{{first_name}}, love what you are doing'
- Meeting booking: route replies, handle the scheduling, and put qualified calls straight on a rep's calendar
Human where it matters, machine everywhere else
Automating outbound is not the same as spamming ten thousand people. The fastest way to burn a domain and a brand is to blast generic mail from a system nobody is watching. So we draw a clear line: the machine does the research, the enrichment, the drafting, and the grunt work; a human approves the angle and, on your highest-value accounts, sends the message themselves.
In practice that means volume tiers. Cold, high-volume segments run on tight, well-warmed sending with conservative limits and constant deliverability monitoring. Your tier-one accounts get machine-prepped briefs and drafts that a rep reviews and fires manually. You get the reach of automation without the reputation hit, and prospects get mail that reads like it was written for them because, at the top of the funnel, it was.
The tools we build it on
We are not married to one platform. We pick the cheapest reliable tool for each job and glue them with custom code where the off-the-shelf option falls short. Most builds run on n8n or Make for orchestration, an LLM for research and copy, verified data providers for contacts, and your existing CRM and inbox as the system of record.
Because we build on your stack instead of locking you into ours, you own the system. If you ever part ways with us, the workflows, the data, and the logic stay with you. No proprietary black box, no ransom.
- Orchestration: n8n, Make, and Zapier, with custom code for the parts they cannot handle
- Intelligence: LLMs for research, qualification, and outreach drafting
- Data: verified email and firmographic providers, deduped and bounce-checked
- Delivery: warmed inboxes, sending limits, and deliverability monitoring built in
- System of record: your CRM (HubSpot, Pipedrive, Salesforce) and calendar, connected both ways
What it costs, and when not to build one
A first lead machine is usually live in two to four weeks: a week to define your ICP and messaging and connect the tools, then a week or two building, testing on real sends, and tuning. From there it runs, and we adjust it as reply data comes in. Because we are an outcome-first studio, a big chunk of our fee sits behind results: you pay when it works, not when we ship a diagram.
It is not right for everyone, and we will tell you when. If your ACV is tiny and your market is a few hundred accounts, hand-sent outreach by a good SDR beats any machine. If you have no clear ICP or nothing worth saying, automation just helps you fail faster. Fix the offer first. Automation multiplies what already works; it cannot invent a reason for someone to reply.
Each piece of the pipeline, from prospect research to booked meetings, broken down with what we build and what it costs.
Will automated outreach get my domain flagged as spam?+
Not if it is built right, which is most of the job. We use warmed inboxes, conservative daily limits, verified emails so nothing bounces, and constant deliverability monitoring. Volume without those safeguards is exactly what kills domains, so we treat sender reputation as the constraint everything else works around.
Do you buy the leads, or do we?+
We build the system that sources and verifies them, using data providers billed to you at cost, plus public and signal-based sources. You own every contact and record in your own CRM. There is no per-lead markup and no list you rent from us and lose access to later.
How is this different from hiring an agency or an SDR?+
An agency sends you reports; an SDR sends maybe 40 quality touches a day. We build a system that does the research and prep of several SDRs and hands your closers warm replies. It does not replace a great salesperson, it removes the manual grind that stops them from selling.
What do we need to have ready before you start?+
A clear picture of your best-fit customer, an offer that has closed at least a few deals, and access to your inbox and CRM. That is enough to start. If your ICP or messaging is fuzzy, we will sharpen it with you in the first week, because no amount of automation rescues outreach nobody wants to answer.
